Notify the Participants
Let all conference participants know the date, how to access the meeting, the conference ID, Host name, start and estimated end times, subject and agenda. We strongly recommend that you ask all participants to quote the conference ID provided at the time of booking the conference.
Prepare in Advance
To avoid meeting delays, take time before the meeting to create and upload any resources you'll need for your meeting, such as presentations, surveys or quizzes.
Host and Speakers
- Dial in at least 15 minutes prior to the scheduled start time of the call. The operator will use this time to conduct audio testing on your line and to run through procedures with you.
- When dialing into the call, use the number relevant to your role in the conference.
- The operator will confirm the call information and call flow with the speakers and will conduct audio testing with each speaker on the call.
- Have all the speakers in the same position and using the same equipment and settings that they will be in for the conference for the testing.
- Identify yourself as a speaker when you dial into the bridge.
- Switch off any mobile phones or Blackberries, which may cause interference.
- Try to position the microphone away from air vents or air conditioning ducts. The noise may be imperceptible to you, but it can affect the audio quality of your call.
- Do not rustle paper near the microphone.
- Avoid walking around the room during the conference.
- Avoid headsets and speaker phones if at all possible; poor sound quality is often attributed to these devices.
- Test all microphones and equipment well before your conference call.
- Let the operator know if you have difficulty hearing them.
- Inform the operator of any additional speakers that may be joining the call.
- Speak clearly.
- A dedicated operator is online with you at all times.
- *0 is the operator request function. Please be aware that any touch-tone (DTMF) commands that you might use when you are in talk mode in the conference will be heard by all participants.
Communication Line Contacts
- Dial in at least 15 minutes prior to the scheduled start time of the call.
- Identify yourself as a communication line contact when you dial into the bridge.
- If you need to listen to the operator as well as the conference call, ensure that you have a second telephone line available. Linking the main conference call to the communication line conference or transferring the communication line contact can cause delays in communication and can affect the quality of your conference.
- Tell the operator if you would like to prioritize the Q&A session.
- Be available to the communication line contact throughout the full duration of the call.
- Let the operator know if you are in the auditorium where the call is taking place. The operator can increase the sound of your line into the communication line conference so that you do not need to raise your voice or interrupt the conference.
- If you are using the Conference Director application, log in around 15 minutes prior to the start of the conference.
- A dedicated operator is online with you at all times.
- *0 is the operator request function, should you require it.
Participants
- For larger calls, ask participants to start dialing in around 15 minutes prior to the conference start time. A large influx of callers on the hour can cause delays to your conference.
- Ask all participants to quote the conference ID issued to you at the time of booking.
- Ask participants to lift the handset when asking a question. This will improve the sound quality of questions.
